At One Further we take our responsibilities around data seriously. You'd probably expect that, given what we do.

The aim of this policy is to explain how we collect your data, how we keep it safe, what we do with it, and why.

First up, we use your information in accordance with all applicable laws concerning the protection of personal information. We try our best, anyway. Some of the guidance around the newer laws could be a bit better.

We collect information about you when you sign up to our mailing list, fill out the contact form (or otherwise get in touch with us), and when you use this website.

We use that information to provide services to you, and keep you up to date with what we're up to.

We use various third party systems to collect, store and process data. These include Google (we use several of their products, including Google Workspace and Google Analytics), Hubspot, Xero, Squarespace, Facebook, Slack, Lookback, Hotjar, and probably some others that aren't leaping to mind.

Where possible, we will only keep personal information for as long as we need it. That period will change from case to case, but a bit of data housekeeping is never a bad idea, is it?

Cookies

This website uses cookies in various ways. For instance, if you fill out a contact form or email signup form then cookies are used there. Also if you dismiss a notification on this site.

Sometimes we might embed content from 3rd party services like Slideshare, YouTube, Soundcloud, Flourish, Google Data Studio or others. Those services might make use of cookies too.

We also use some third party cookies to understand how you use this website and how our (very limited) digital advertising efforts are performing.

User Testing Participants

What personal data do we hold and how did we get it?

In the course of applying to take part in research on behalf of a cultural organisation and in the research sessions themselves, you will provide us with personal data about yourself. This would be done either through signing up via the cultural organisation’s website, for example from a website pop up and in responses given during research sessions. This may include the following:

  • Information that you provide when completing online surveys to determine if you will be suitable to take part in research sessions. You may also provide additional information with our staff over email, phone or text message.

  • Information that you provide during the course of the market research session.

  • Video or audio recordings of the market research sessions.

  • Information that you provide in any email communication with ourselves.

What we do with your personal information

We may use your data (in accordance with GDPR) in the following ways;

  • To contact you via email to invite you to a 45 minute market research session, in exchange for a £20 gift card.

  • Send you vouchers. We usually pay you in a gift card which you can claim from your email address. We will NEVER ask for credit or debit card details from you and we will never ask you to purchase anything or make a payment to us.

  • Your data will only be processed by our staff in the UK in line with UK/EU law and the GDPR.

  • Your data may be transferred and stored via some online systems based in the US. By this, we mean systems like survicate which we use to process website surveys. Where data is stored on systems based in the US, we have contracts in place with those suppliers to ensure they meet our strict data security criteria.

What we don’t do with your data

We will not supply your personally identifiable information to anyone.

We will not use your data for any purpose other than to understand more about your user experience of the cultural organisation’s website.

We will never sell or rent/hire your data to anyone. In the event that we sell our business to a new owner then we’ll make sure you’re aware and ask you to opt in again, provided you’re happy to continue your registration with us.

How long do we keep your personal data?

The data you provide when completing online surveys is kept for 2 months and then deleted.

Any video or audio recordings of you taking part in research sessions are kept by ourselves for up to 18 months from the date of the research session. The recordings are shared with our client at the end of each project via secure online transfer. We keep the videos for this long in case our client needs them re-sending at any point within 18 months of the research taking place. We delete all video and audio recordings after 18 months.

Cultural content survey

The purpose of these surveys is to understand how cultural organisations plan, produce, and measure the impact of the online content that they produce.

We ask for information about the organisation that you work for, but your name and contact details are not mandatory. We will do our best to keep your information confidential. All data is stored in a password protected electronic format.

The results of this study will be published publicly in an aggregated and anonymised form. We will not publish data that would identify individuals or their institutions without requesting permission in advance, save that we will be entitled to name the institutions that have contributed to this research project.

You may choose to be entered into a draw to receive a selection of books or voucher to the equivalent value. If (in our opinion) your submission has not been made in good faith then we reserve the right to exclude you from the draw.

In the event that the survey becomes wildly successful, the total amount of donations payable to Ecologi and the DEC Ukraine Humanitarian Appeal together will be capped at £10,000.

By submitting your information you agree to the following terms and conditions:

  1. You agree that One Further Limited may collect, process, use and store your personal information for the purposes of administering the surveys and maintaining our internal administrative or client relationship management systems, and any legitimate business purposes.

  2. You warrant that you’re entitled to disclose such information via the survey and that the information is accurate to the best of your knowledge and does not breach any law or the rights of any person.

  3. You understand and agree that the information (including personal information) may reside and be processed outside of the United Kingdom and you agree that One Further Limited or an entity acting on our behalf shall be entitled to transfer and process personal information across country borders for the purposes set out above.

  4. You agree that One Further shall be entitled to retain the personal information for a minimum period of 5 years, after which, subject to what is set out below, the personal information shall be destroyed. Although you agree that we shall however be entitled to extend the period for which personal information is retained (i) if this is required or authorised by law, (ii) we reasonably require the information for a longer period for lawful purposes related to our activities or functions, (iii) this is required by any contract between the parties, or (iv) for statistical or research purposes (subject to appropriate safeguards).

  5. Your participation is voluntary. If you decide to participate then you may withdraw your input at any time prior to the closing date. Please contact us to inform us of your intention to withdraw.

AUDIENCE SURVEYS

The purpose of One Further audience surveys is to gain a greater understanding of how a cultural audience digests, consumes and experiences digital content and services. We conduct these studies in order to provide data based recommendations to cultural organisations, and ultimately make their services more user friendly, accessible and meeting the needs of their audiences more directly.

We ask for information about the organisation that you work for, but your name and contact details are not mandatory. We will do our best to keep your information confidential. All data is stored in a password protected electronic format.

The results of our study will be shared confidentiality with clients in an aggregated and anonymised form. We will not publish data that would identify individuals or their institutions without requesting permission in advance, save that we will be entitled to name the institutions that have contributed to this research project.
